What is the TOTAL FLEET Connect solution for ?
TOTAL FLEET Connect is the Total connected fleet management solution. It consists of a unit connected to the vehicle which provides feedback on all information needed for efficient fleet management. The goal is an ethical approach based on ecology, cost reduction, fleet improvement and efficiency by giving everyone involved a clear and objective view of the condition of a vehicle, how it is being utilized or its consumption, while being easy to use and providing significant advantages to every driver. The TOTAL FLEET Connect solution enables both fleet managers and drivers to access specific information about the vehicle, including its maintenance log, technical inspection reminders, fuel consumption and mileage, or finding a vehicle in a parking lot at any time.
Why an application dedicated to drivers ?
Driving behavior accounts for half of the costs associated with a vehicle (fuel, maintenance, claims, consumables...). Thanks to a dedicated mobile application, TOTAL FLEET Connect enables you to be directly connected with your drivers. They have access to all the information gathered about their driving and can easily manage their privacy or anticipate vehicle maintenance. This means that you can be confident that your vehicles are safer and in better condition. Thanks to our application you can also encourage and challenge your co-workers by suggesting a personalized, fun and non-invasive coaching session for eco-driving. Your drivers enjoy better safety and more relaxed driving, while contributing to reducing costs for your company and also being rewarded personally.
Why focus on eco-driving ?
Eco-driving is the solution for the economic and environmental issues arising from the use of fossil fuels. It reduces the number of accidents, saves fuel and consumables. With TOTAL FLEET Connect, we want to launch a virtuous cycle through a global momentum to improve behaviors, which will also generate substantial redistributable savings. This means that you will have vehicles that are better maintained and therefore more environmentally friendly. The aim is to educate everyone who uses a company fleet, both drivers and fleet managers, to make roads safer, optimize driving routes and reduce your company’s environmental footprint. A single training session in eco-driving is not enough, and its outcomes begin to fade after 3 months, so we have digitized the expertise of our accredited trainers to sustain good driving behaviors by means of a fun and proactive application.
How is driver privacy managed ?
Our solution is very respectful of driver privacy. Our role is to offer a solution that makes daily life easier for yourself as well as for your drivers. We position ourselves as a subcontractor for personal data collected through the vehicle. The solution is developed in compliance with the applicable regulations and CNIL recommendations for connected devices. Respect for privacy being paramount, we have set up a privacy mode which allows your drivers to disable geolocation outside of their working hours, directly from their smartphone (lunch break, weekend, commuting from home-work/work-home). You can also schedule private life times for all of your drivers, or on a case by case basis.
What do you do with the data and to whom does it belong ?
We make every effort to process your data in the most secure and confidential way possible. Only our authorized employees have access to the data, the aim being to protect your privacy. TOTAL FLEET Connect has taken physical, electronic and organizational protection measures to prevent any loss, misuse, unauthorized access or dissemination, alteration or potential destruction of your personal data. Your data remains your property. It will not be transferred nor communicated to a third party at any time. Your data is collected only to provide you with an intelligent solution that makes your daily life and that of your drivers easier in order to positively change driving behaviors. No personal data is used for any purpose whatsoever; we process anonymized data only to improve our services. We consider this data to be extremely important, as well as your privacy, which is why we are fully compliant with CNIL recommendations and with the data privacy law (Loi Informatique et Libertés).
Why choose a connection on the OBD plug ?
TOTAL FLEET Connect uses a solution that is not intended to be intrusive for the vehicle (risk of dashboard data failure). Our solution is connected to the OBD socket (vehicle diagnostic plug), with Y-wiring. This wiring means that the initial diagnostic plug remains available for vehicle maintenance. The major advantage of an OBD plug is the installation time = > 15 min, as well as the ease with which it can be exchanged in case of any failures. this connection provides you with a direct and permanent connection with your fleet. Its technical features enable it to capture all the data from the vehicle as well as its uses and interactions with its environment.
Can the unit be easily disconnected ?
Note that in cases where the diagnostic plug is visible, the installer pulls a cable in order to hide the unit so as not to impair the vehicle’s aesthetics. When the unit is disconnected (maintenance, theft, voluntary disconnection etc.) as in the case where the unit is defective and is not giving any feedback, an alert appears on the management console to notify the anomaly and secure fleet control.
What happens if the unit is broken or stolen ?
TOTAL FLEET Connect is committed to resolving any technical incident as soon as possible. In case of a failure or theft, we bring in a logistician to replace the unit.
How are incidents resolved, how does After-Sales Service work ?
In case of a “major” incident that blocks our solution, resolving the problem becomes our “top priority” and our development team will be dedicated to this resolution. Processing time and the date for implementing the resolution will be communicated to you within a maximum of 24 hours after the incident is reported. In case of a “minor” incident that does not interfere with using our solution, we undertake to resolve it so that the resolution is effective for the next production implementation (production implementation takes place every 15 days). In case of emergency, your dedicated contact person is reachable by cell phone 24/7.
How long is the GPS data stored ?
According to CNIL regulations in force, GPS positions are kept for a period of two months, after which they are anonymized.
How reliable is data back-up in areas where network coverage is poor or non-existent ?
TOTAL FLEET Connect units are equipped with a 4G multi-operator chip that allows us to collect data by the second and down to the nearest meter anywhere. In areas where network coverage is poor or non-existent (underground parking, tunnel etc...), the unit’s buffer memory takes over (storing data until it reconnects to the network) in order to guarantee the reliability of the data collected over time.
Does the TOTAL FLEET Connect solution allow you to know whether employees are complying with driving rules ?
TOTAL FLEET Connect is a solution that is intended to be non-intrusive. It was developed with individual employees in mind, with a focus on their privacy. TOTAL FLEET Connect provides scoring/coaching elements based on driver behavior, not on compliance with legislation. TOTAL FLEET Connect provides visibility on eco-driving and safety for the fleet, while enabling co-workers to improve thanks to digital coaching. The approach here is “management with a smile”, the aim of which is to encourage safer behaviors, not to reprimand.
Implementation
Can the employer take sanctions based on the information provided by the solution ?
The purpose of the geolocation device is not surveillance. The aim is for the vehicle to be used in compliance with the terms defined by the company. For instance, an employer cannot sanction a driver because he consumes too much fuel. The TOTAL FLEET Connect approach is an incentive. The company may, however, invite drivers to adopt a more “eco-responsible” approach.
What are the company’s obligations ?
When installing a geolocation device in your vehicles, employers must comply with certain obligations. Staff Representative Bodies must be informed or consulted before any decision is made to install a geolocation device in vehicles available to employees. Once the Staff Representatives have been consulted and the process is ready to be set up, every employee must also be informed of the following:
- The identity of the controller,
- The purpose of the process,
- The recipients of the data from the geolocation device,
- Individual right of opposition for legitimate reasons,
- Individual right to access and to rectification
Can drivers refuse to have the unit installed ?
Installing this type of device is entirely legal and is increasingly developing in companies in France and in Europe. Employees may object to the installation of a geolocation device in their professional vehicle if said device is not compliant with the legal conditions laid down by the CNIL. Employees must be informed of the fact that such a device is being installed. They must have access to their data recorded by the instrument (travel dates and times, routes, etc.). Employees must be able to deactivate the collection or transmission of geographical location outside of their working hours. Conversely, if the employer has taken all the necessary steps for setting up the device, drivers will not be able to challenge the deployment of this solution.
